Exhibitor Application Detailed Instructions

DATE and TIME:
Art in the Park is always held the first Saturday after Labour Day each year. 
In 2008, it is Saturday, September 6th.

In 2007, the hours were changed to:  9:00 a.m. to 4:00 p.m.All booths must be setup by 8:30 a.m. latest and no booths may be taken down prior to 4:00 p.m. (This is a safety issue with patrons still in the park). 

NEW EXHIBITOR REQUIREMENTS
:
Samples of work may be supplied via computer photos, websites, etc. as well as by snail mail with photos.    If it is imperative that you receive them back, a self-addressed, stamped envelope should be forwarded with the samples; otherwise, they will not be returned.

CONDITIONS OF EXHIBITING:

This is a juried show which means you are not automatically accepted.  Should you not be accepted, your cheque will be refunded to you, returned or destroyed. 
You cannot sell the work of others or mass-produced goods.
You cannot bring work that has not been juried.

ACCEPTANCE:

All work is placed in a category & each category has a quota of the number of exhibitors permitted.  When the quota for the individual category is filled, applications are placed on a waiting list for cancellations, withdrawals, etc. 

Each application is judged on a number of criteria:

  • one-of-a-kind work is preferred and greatly encourage
  • All work must be the original handcrafted work of the artist
  • work is looked at for high standards, uniqueness, great style, innovativeness and design qualities, etc.

BOOTHS:
All booth spaces are 12 feet wide by 10 feet deep.  All exhibitors will be assigned a numbered space and are responsible for providing their own display equipment (i.e. tables, chairs, etc) weather protection & identification.  All exhibitors MUST have a canopy or tent for their space.  For exhibitors who feel they have ‘special’ circumstances, please contact the chair.

We are pleased to offer a selection of BOOTH CHOICES for 2008 as many of you have requested:
ENTRY FEES:  New Fees for 2008:

  REGULAR booth space – 1 - 10 x 12 (120 sq. ft) $100
  PRIME booth space (prime location with hydro) – 10 x 12 $120
  DOUBLE WIDE  Space  - 2 X 12 = 24 ft. wide (240 sq. ft) $200
  DOUBLE DEEP  Space – 2 X 10 = 20 ft. deep (240 sq. ft.) $200

NO POST-DATED CHEQUES ARE ACCEPTED. 

You must send the stamped, self-addressed envelope with your application or it will not be accepted for consideration or jurying. 

Your envelope will be returned to you in July of ’08 with your booth assignment & other pertinent data for the day.

No reservations of booth locations are accepted.  The assignment of booths is planned to vary the booths & categories of work throughout the park so exhibitors in one category are not in the same area.  However, we will try our best to honour requests, but no guarantees.

WEATHER:  
In case of inclement weather, there will be no re-scheduling of Art in the Park and no refunds of registration fees.  (The good news is it has only rained twice in 27 years). 

NOTE: 
Constantly rising costs of advertising, publicity, paper & printing, mailing and services to sponsor this event, our rates for 2008 have been increased.  Our survey indicates we are one of, if not the lowest, in fees for this type of venue. 

DEADLINES:
The Official deadline for Applications is March 1st, 2008.  All applicants will be notified of acceptance by April 1st, ’08.  LATE Applications (after March) will be accepted, but acceptance will be based on jury results & availability of spaces.

Also, late applicants are notified that ‘special requests’ are no longer able to be considered and, without just cause, no switching of booth locations will be permitted at any time.

PARKING FOR EXHIBITORS:
A strict policy of NO PARKING WHATSOEVER on the grassy area where booths are located is in effect.  Designated parking areas for exhibitors only are provided and parking your vehicle and trailer, after unloading at your site, in these areas is mandatory.  Parking attendants will be on site both Friday afternoon and Saturday for this purpose.

AMENITIES:
Runners for the Country Kitchen will be circulating early on Saturday a.m. to provide a chance to order  a breakfast snack of fruit, yogurt and muffin for a small fee, as well as free coffee for exhibitors.  Orders for lunch and delivery of same will also be available.
